USAWFF SchedulingPrivacy policy
Effective November 1, 2026. This policy describes the private scheduling system at schedule.usawff.com, administered by Miguel de la Lama. Contact: migs.kelo.llc@gmail.com.
Information we process
We store host account and access information, calendar connection credentials, host availability, meeting proposals, booking times and locations, participant names and email addresses, optional phone numbers and messages, invitation responses, and records needed to operate and audit the system.
Connected calendars
Hosts separately authorize calendar access. Google access lets us list the host's calendars and view and edit calendar events. Microsoft access lets us read and write calendar events and maintain the authorized connection. iCloud uses an app-specific password supplied by the host. Credentials are encrypted on the server and are not exposed to guests.
We use calendar data to identify busy periods and create, reschedule or cancel scheduled events and participant invitations. We do not use Google user data to train generalized AI or machine learning models, sell it, or use it for advertising. Our use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including its Limited Use requirements.
Service providers and recipients
Vercel hosts the application, Neon stores application and authentication data, and Resend processes booking emails. Google, Microsoft and Apple process calendar requests for accounts their hosts connect. Meeting participants receive the meeting details and calendar invitations needed to attend. Authorized administrators can manage workspace access and support scheduling.
Private links and email
Private invitation and booking links allow access to the appointment they reference. Anyone with a complete link may be able to view or change that appointment. Share each participant's link only with its intended recipient. Emails include meeting information and may include calendar files.
Retention and your choices
Meeting history, contact details and audit records are retained for scheduling and administration until removed by the administrator. Disconnecting a calendar stops future use of that connection and removes its stored credentials; it does not delete previously created events or booking history. Hosts can revoke Google or Microsoft access in their provider account, or revoke an iCloud app-specific password with Apple.
To request access, correction or deletion of your personal information or stored calendar data, contact the administrator at the email above. We will review and act on the request, subject to records that must be retained for legitimate administrative or legal reasons. No advertising cookies are used; authentication and security cookies support access to the application.
Changes
We will update this page when our practices change. Questions about the system or this policy may be sent to the administrator.
